Company Information
These Terms and Conditions apply to all taxi and private hire services provided by:

Definitions
In these Terms and Conditions, the following terms have the meanings stated below:
- “Company” — Hertford Taxi Booking, the provider of taxi and private hire services
- “Customer” — The person making a booking and/or travelling in our vehicle
- “Driver” — The licensed driver assigned to fulfil your booking
- “Journey” — The agreed taxi service from the confirmed pickup point to the confirmed destination
- “Booking” — A confirmed reservation for taxi services made via website, phone, or approved method

Booking & Confirmation
3.1
All bookings must be made via our website at hertfordtaxibooking.com, by telephone on 01992 919456, or via our other approved booking methods.
3.2
A booking is only confirmed when you receive written or verbal confirmation from Hertford Taxi Booking. An unacknowledged request does not constitute a confirmed booking.
3.3
For airport transfers, we strongly recommend booking at least 24 hours in advance to guarantee vehicle availability.
3.4
We reserve the right to decline any booking at our discretion without providing a reason.
3.5
It is the Customer’s responsibility to provide accurate pickup address, destination, date, time, contact number, and number of passengers at the time of booking.
3.6
Any errors in booking information provided by the Customer that result in delays, failed pickups, or additional costs are the sole responsibility of the Customer.

Pricing & Payment
4.1
All prices are quoted in British Pounds Sterling (£) inclusive of VAT where applicable.
4.2
Fixed prices apply to agreed routes as quoted at the time of booking. Additional charges may apply for the following:
- Changes to the agreed route requested during the journey
- Additional stops not included in the original booking
- Excessive waiting time beyond the agreed grace period
- Toll charges, parking fees, or London Congestion Charge where applicable
- Out-of-hours surcharges as stated at the time of booking
4.3
We accept the following payment methods:
- 💷 Cash (GBP)
- 💳 All major debit and credit cards
- 🏦 Bank transfer (corporate accounts by prior arrangement only)
4.4
Payment is due upon completion of the journey unless a corporate account or advance payment has been arranged and agreed in writing.
4.5
Prices displayed on our website are estimates only. The confirmed fixed price will be provided at the time of booking.

Cancellation Policy

No refund. Full journey price may be charged
5.4
No-show: If you are not present at the agreed pickup location within 15 minutes of the agreed time without prior notice, the full journey price will be charged.
5.5
Airport pickups: We allow a 60-minute grace period after the confirmed actual flight landing time before no-show charges apply. We track all incoming flights.

Waiting Time
6.1
For standard pickups, drivers will wait up to 15 minutes from the agreed pickup time at no extra charge.
6.2
For airport pickups, drivers will wait up to 60 minutes after the actual recorded flight landing time at no extra charge.
6.3
Waiting time beyond the grace periods stated above will be charged at our standard waiting rate as advised at time of booking.
6.4
We track all flights for airport pickups. If your flight is delayed significantly, please contact us on 01992 919456 to update your booking details.

Passenger Conduct
7.1
All passengers must wear seatbelts at all times during the journey as required by UK law.
7.2
Passengers must not engage in the following conduct:
- Use abusive, threatening, or offensive language toward drivers or staff
- Smoke or use e-cigarettes in any of our vehicles
- Consume alcohol excessively or behave in a disorderly manner
- Damage, soil, or interfere with any vehicle or its equipment
7.3
The Driver reserves the right to refuse to carry or to terminate the journey of any passenger who appears to be under the influence of alcohol or drugs, or who is behaving in a threatening, abusive, or dangerous manner. No refund will be given in such circumstances.

Damage & Soiling Charges: Any damage caused to our vehicles by passengers will be charged at the full cost of repair or professional cleaning. Soiling charges (vomit, spillages, etc.) start from £150 and will be invoiced directly to the Customer.
7.5
Children must use appropriate child car seats as required by UK law. Please inform us at the time of booking if you require a child seat to be provided.

Luggage
8.1
Standard luggage allowance per vehicle type (suitcases + hand luggage):
🚗 Saloon Car
2 standard suitcases
+ 2 hand luggage items
Up to 4 passengers
🚙 Executive Car
2 standard suitcases
+ 2 hand luggage items
Up to 4 passengers
🚐 MPV
4 standard suitcases
+ 4 hand luggage items
Up to 6 passengers
🚌 Minibus
6 standard suitcases
+ 6 hand luggage items
Up to 8 passengers
8.2
Please inform us at the time of booking if you have oversized, excessive, or specialist luggage including golf clubs, prams, pushchairs, wheelchairs, or sporting equipment.
8.3
We are not liable for loss or damage to luggage during transit unless caused directly by our proven negligence.

Delays & Service Disruption
9.1
We make every reasonable effort to ensure punctual collection and delivery to your destination.
9.2
We are not liable for delays or service failures caused by circumstances beyond our reasonable control, including:
- Adverse weather conditions (snow, ice, flooding, fog)
- Traffic congestion, accidents, or road works beyond our control
- Road closures or emergency service diversions
- Vehicle breakdowns (we will arrange alternative transport as soon as possible)
- Acts of God, civil unrest, or other unforeseen exceptional circumstances
9.3
In the event of a significant delay caused by us, we will contact you as soon as practically possible and endeavour to arrange suitable alternative transport.

Liability
10.1
Our total liability to you in connection with any booking is limited to the cost of the journey booked.
10.2
We do not accept liability for the following:
- Indirect or consequential losses including missed flights, missed connections, or lost business opportunities
- Items left in vehicles (we will make all reasonable efforts to return found property)
- Losses arising from inaccurate booking information provided by the Customer
- Delays or failures caused by events outside our reasonable control as set out in Section 9
10.3
Nothing in these Terms and Conditions limits or excludes our liability for death or personal injury caused by our proven negligence, or for fraud or fraudulent misrepresentation.
10.4
We maintain full public liability insurance as required by UK law and our local authority licensing conditions.

Complaints
11.1
If you are dissatisfied with any aspect of our service, please contact us within 7 days of your journey:
11.2
We aim to acknowledge all complaints within 24 hours and work to resolve them fully within 7 working days.
11.3
Complaints must be made by the Customer who made the original booking. Third-party complaints cannot be accepted without written authorisation from the original booking customer.

Privacy
Your personal data is collected and processed in accordance with our Privacy Policy. We are committed to protecting your information and complying with all UK GDPR obligations.

Changes to These Terms
We reserve the right to update or amend these Terms and Conditions at any time without prior notice. Changes will be effective immediately upon being posted to our website. Your continued use of our services after any changes have been made constitutes your acceptance of the updated Terms and Conditions. We recommend reviewing this page periodically.

Governing Law
These Terms and Conditions are governed exclusively by the laws of England and Wales. Any disputes arising from or in connection with these Terms or our services shall be subject to the exclusive jurisdiction of the courts of England and Wales.
